Starting point
Personnel cards were opened in Mikro, while HR and time-and-attendance work ran in Idenfit. Staff in different regions had to appear with the same data in both systems. Mikro was defined as the source and Idenfit only as the receiver.
PROJECT STORY
An integration service that transfers a multi-region business's personnel cards from Mikro to Idenfit together with region and department data, and deactivates leavers.
Let's review your projectPersonnel cards were opened in Mikro, while HR and time-and-attendance work ran in Idenfit. Staff in different regions had to appear with the same data in both systems. Mikro was defined as the source and Idenfit only as the receiver.
WORKFLOW
The steps show the order in which the work runs, from source to result.
The service reads a view prepared for this purpose in the Mikro database, read-only; it writes nothing to Mikro. In every cycle the Mikro cards are compared with the Idenfit records section by section, and only the changed sections are sent: profile, contact, personal data, employment and bank details.
Each person is matched to their Idenfit record by national ID number and, if none is found, by work email; records without a valid ID number are not processed. A region corresponds to an Idenfit branch and is matched first by name, then by code, with a default branch as fallback. Department, position and termination reason are matched by name, and missing definitions are created in Idenfit automatically.
A work email is required for a new person; cards without one are not created and are listed in the report. The same person is never created twice in one cycle. If Idenfit reports a conflict on creation, the service looks the record up again and updates it instead. Staff with an exit date in Mikro are deactivated in Idenfit with the exit date and reason.
The service runs as a Windows service on the business's own server; the business owns its operation and the data. Created, updated, deactivated and failed records are reported in a batched email with reasons, and a separate alert goes out if a cycle fails or the service stops. Idenfit's request limits are respected and the session is renewed before it expires. One month of support after handover covers monitoring, error analysis and log review.
