Starting point
Approval, weighing, sorting and stock entry for scrap and waste purchases were handled by different people and documents. The company needed to see which purchase passed which approval and the difference between the weighed and the purchased quantity.
Processes built in phase one
Phase one planned five processes and delivered seven, each with reports: purchasing, goods receipt, sorting, budget request, producer receipt, inter-warehouse transfer and cash management.
Purchasing and budget approval
On the purchase form the purchase type comes from the user's profile and products are filtered by department; unit and total price calculate each other, and lines can be pasted from Excel. The request goes to the product manager, who can approve, reject or ask for a revision and can fetch daily exchange rates on the approval screen. A budget request starts with the purchasing officer and passes the product manager, operations, the general manager and the finance manager before reaching the cashier.
Weighbridge receipt and sorting
When a warehouse officer selects a completed purchase, the form fills itself. The weighbridge field starts with the purchased quantity; if the weighing differs, the line is corrected and the difference is kept in a separate kilogram difference column. Completing the receipt creates the stock entry. A status field shows whether goods are in stock, in transit or being sorted, and a record in one of these states cannot be used by another process. Waste rate or price changes above a set threshold go to the general manager for approval.
Link to Logo and go-live
From go-live, Logo stock and account records are visible in Flow, and the finance user checks the entries passed from Flow to Logo. A fifteen-day trial period was planned before go-live, and phase one was closed with a signed acceptance document. Later work added starting a form on behalf of a buyer, a revised purchasing flow and automated purchasing reports emailed to management.
